SARS logbook template

SARS Logbook Template — Without the Spreadsheet

Looking for a vehicle logbook template for your SARS travel claim? You could fill in a 365-row spreadsheet by hand. Or you could enter two odometer readings and your business trips, and have a complete, reconciled logbook in about 5 minutes.

Free to build — R49.99 once-off to export.

What a SARS-compliant logbook must contain

Whatever tool you use, SARS expects the same things. Your logbook must show:

  • Your opening odometer reading at the start of the tax year (1 March) and your closing reading at the end (28/29 February)
  • For every business trip: the date, the kilometres travelled, where you went, and the reason for the trip

That's it. You do not have to record the detail of private trips — private kilometres are simply your total distance minus your business kilometres. This is exactly what LogBoek captures and balances for you.

The spreadsheet is the hard way

A template works, but it's 365 rows, and if you're reading this in October you're about to spend an evening reconstructing a year of driving one line at a time — and then making the odometer chain balance.

LogBoek does the same job in about 5 minutes. Enter your reading from 1 March, your reading from the end of February, and your business trips — including recurring ones like "Home to Menlyn, every Tuesday and Thursday." It builds the entire year, balances the odometer for you, and exports a finished, SARS-ready logbook as a PDF.

"Your full year's logbook in 5 minutes — not 365 days."

Quick answers

Do I have to keep a logbook?

If you receive a travel allowance (IRP5 code 3701) or a reimbursive travel amount above the prescribed rate, or you use a company vehicle, you need a logbook to claim. Without one, SARS will disallow the claim — the logbook is the evidence.

I haven't been keeping one all year. Am I stuck?

No. You need your odometer readings and a record of your business travel. Diaries, calendars, invoices and client meeting notes are all legitimate sources. What you must not do is invent trips.

Do I have to enter my tax number or registration?

No — those fields are optional. You can add them to the document afterwards if you prefer.

Is this the official SARS template?

No. LogBoek is an independent product and is not affiliated with, endorsed by, or connected to SARS. SARS publishes its own logbook and guidance on sars.gov.za.
